This policy explains how Forever Photo (“we”) collects, uses, and protects your personal information when you order from us. We are the controller of your data.

The data we collect

• Contact details: your name and email address, so we can confirm and update you on your order.
• Delivery address: line 1 and 2, town, county, postcode, country — to make and ship your print.
• Your content: the photograph you upload, and the video or audio memory you upload.
• Order details: size, frame, shipping method, and the amount paid.
• Payment: handled by our payment provider, Square. We do not store your card details.
• Cost code, if you enter one, to apply at-cost trade pricing.

Why we use it and our lawful basis

We use your data to take and fulfil your order, to deliver it, to email you about its progress, and to meet our legal and tax record-keeping obligations. Our lawful bases are performance of the contract with you, compliance with a legal obligation, and, where you contact us for support, our legitimate interest in replying.

Sharing your data

We share only what is necessary to fulfil your order: your delivery address and the print file with our fulfilment partner, so your print can be made and posted; and payment details with Square. We do not sell your data and do not share your content beyond what is needed to make and deliver your print.

How long we keep it

We keep order records and the content you uploaded for as long as needed to provide the memory page and to meet our legal and tax obligations, after which it is deleted. If you want a copy of your memory removed earlier, contact us.

Your rights

You have rights to access, correct, erase, or port your personal data, and to object to or restrict certain processing. To exercise any of these, email hello@foreverphoto.co.uk. You can also complain to the Information Commissioner’s Office at ico.org.uk.

Cookies

Our site uses only the cookies needed to run it. Where we add any non-essential cookies or analytics in future, we will ask for your consent first.

Security

We take reasonable steps to protect your data and your content, and access to order records is restricted to authorised studio staff. No method of transmission is fully secure, but we work with trusted partners for payment and fulfilment.

Children

Our service is not intended for children under 16 and we do not knowingly collect their data. A parent or guardian should place any order for a minor.
